Now a topic in the approved minutes is requesting to be changed by some parents. What is needed to officially change the outcome of the topic? (You don't rewrite history, if it is correct)What you can do is rescind or amend the motion that dealt with the "topic" first time around. See pp. 293 ff. for "how-to" details. It states if possible, a majority of the entire general membership (close to 200 people) or two/thirds majority. Can someone please clarify how does the executive board handle this? It was brought to our attention that some general members are unhappy of the decision and disagree with it and now an emergenct meeting is being called for the executive board. jstackpo Posted June 11, 2010 at 07:20 PM Report Share Posted June 11, 2010 at 07:20 PM Presuming, that the general membership passed the motion on "the topic", then only the general membership -- at a special meeting, I guess, unless a regular one is scheduled soon -- can amend or rescind it.The executive board cannot do so, unless it is authorized to counter the wishes of the membership in the bylaws, which, for a PTA, is very unlikely.And remember you are NOT removing anything from the minutes - you are simply proposing a motion to rescind (or amend) the motion that the minutes describe.Go back and re-read pp. 293 ff. Without previous notice you'll need either a two-thirds vote or the vote of a majority of the (entire) membership.And remember that a majority vote and two-thirds vote are based on the members present and voting. Don't think that way.• It isn't the MINUTES which is the targeted item to change.• It is the ADOPTED MOTION which you actually wish to target for change.Leave the minutes alone.If the adopted motion was (for example) "No smoking in the gazebo", then you'll want to add or subtract words to this policy or rule or resolution; or, you'll want to RESCIND it, outright, and get rid of it completely.Don't mess with old minutes, if the minutes are ACCURATE of the action(s) taken.You don't alter properly-adopted policies, procedures, resolutions, etc., by editing minutes.
