Documenting results of a vote in Minutes

When documenting the results of a vote, does each vote need to be noted with the name of the person who made that vote or can the notes be limited to the person who brought motion, who seconded the motion and then the results - total number for and total number against - passed or not?

Depending on the nature of the vote, either of those or none of those might be appropriate. Except the part about recording the seconder.

In most cases, the notation in the minutes should be limited to:

  • The maker of the motion.
  • The final text of the motion, as amended.
  • Whether or not the motion was debated on and/or amended from its original form.
  • Whether or not the motion was adopted.

If the chair counts the vote (either after this is ordered by majority vote, because it is a very significant vote such as on a bylaw amendment, or because the chair decides to count either due to an unusual voting requirement or because earlier votes were too close to tell), then the count of the vote should be recorded. The chair should not usually count a vote on the first go.

The votes of the individual members should be recorded only when a roll call vote is ordered by the assembly, or required by a rule.
