Guest Shirley Fauber Posted September 17, 2013 at 03:54 PM Report Share Posted September 17, 2013 at 03:54 PM After a Board meeting there are original documents that were presented by constituents, letters and sometimes petitions. Do the original documents have to be attached to the minutes in the minute book? Should copies be scanned and attached WITH the minutes and the originals kept in another file? Thanks! Josh Martin Posted September 17, 2013 at 04:00 PM Report Share Posted September 17, 2013 at 04:00 PM After a Board meeting there are original documents that were presented by constituents, letters and sometimes petitions. Do the original documents have to be attached to the minutes in the minute book? Should copies be scanned and attached WITH the minutes and the originals kept in another file? If any action was taken some of the documents, and the motion refers to the document, then it would be best to keep those documents with the minutes. If no action was taken on these documents, RONR does not require that they be kept at all. If they are kept, I would not keep them with the minutes.
