Right now we are only seeing line items such as : Old Business, New Business, etc. There is no other detail unless they are going to vote on an item. They are not listing items that will be up for discussion. Is this o.k.? Members do not know what is being discussed until after the minutes have been posted, which could be 2-3 months later. " No problem - there should be no discussion without a motion to eventually deal with anyway - p. 34. Posted May 17, 2014 at 01:16 PM Report Share Posted May 17, 2014 at 01:16 PM According to RONR, boards don't generally need to use agendas in the first place; the ordinary order of business, appearing on p. 26 of RONR and, in brief, p. 13 - 15 in RONR - In Brief; and RONR - IB summarizes agendas on p. 16 - 17. What you describe is unobjectionable, and I would suppose quite common, and completely satisfactory. RONR doesn't require the board's agenda before the meeting ... or even afterwards. If you want it posted in more detail, I suppose the membership can order the board to post it in more detail; and for that matter, could order the board to post its minutes more promptly than 2 or three months later. (I would suggest that you first make a gentle request; maybe that's jsut me.) What do you mean: "Members do not know what is being discussed until after the minutes have been posted" -- eh? Weren't the members paying attention in the meeting? Transpower Posted May 17, 2014 at 01:33 PM Report Share Posted May 17, 2014 at 01:33 PM I think it is good practice to e-mail a draft of the agenda to each Board member prior to the meeting, so that adoption of it (with any amendments) may be made quickly at the actual meeting. Likewise, I think it good practice for the draft minutes of the previous meeting be sent to all Board members prior to the current meeting so they have a chance to peruse it carefully.
