Guest Rita Posted October 7, 2014 at 03:59 PM Report Share Posted October 7, 2014 at 03:59 PM In a past meeting we have approved a motion for our monies collected at each meeting as our Happy Bucks that it be put into the general fund with no specification. Now that we have a specific need for these monies. Do we need to amend this motion that these monies be used for this specific purpose or should this just be noted in the minutes? How do we amend a motion? Thank you
Gary Novosielski Posted October 7, 2014 at 04:32 PM Report Share Posted October 7, 2014 at 04:32 PM There's no need to amend the motion. You agreed to do a collection and put the money in a general fund with no specific use. And that's what you're doing. That's what you have been doing. And amending that motion would not change what has already happened. But now you can make another motion about how to spend some or all of the money in that fund, without any need to modify the original motion. After you spend some of it, the original motion can continue to put future collections into that same fund.

However, based on my understanding of your situation, that motion should be in the nature of a motion "to amend something previously adopted", since you are operating pursuant to a motion that all "Happy Bucks" donations go into the general fund. Let's review. Some time in the past you adopted a resolution akin to this: "That we collect money at each meeting as our Happy Bucks, and that all Happy Bucks go into the general fund." Is that close? Now you wish the resolution to read: "That we collect money at each meeting as our Happy Bucks, and that all Happy Bucks go into the general building fund." Is that right? If so, then you could make a motion like so: "I move to amend the resolution of January 2000 regarding the Happy Fund, namely, by strking 'general' and inserting 'building'." See "Amend Something Previously Adopted" in Robert's Rules of Order.
