Guest Jennifer Posted December 5, 2014 at 06:26 PM Report Share Posted December 5, 2014 at 06:26 PM Hi, We recently voted to appoint two board advisors to our school board. As such, these individuals attend the meetings regularly. Currently we do not include them in the official roll call at the meetings, but when writing the minutes, they have been added at the end as being present if they attend. My question is, is it okay (or required) to include them in the minutes stating whether they were present in the roll call section even though they aren't technically part of the board? If not, is there any need/requirement that this information be listed somewhere in the minutes? Thank you
Edgar Guest Posted December 5, 2014 at 06:30 PM Report Share Posted December 5, 2014 at 06:30 PM There is no rule requiring recording the attendance of members in the minutes, and certainly no rule requiring recording the presence of any non-members. But there's also no rule that prohibits it. That said, you shouldn't include non-members in the "roll call" of members.
Hieu H. Huynh Posted December 5, 2014 at 06:57 PM Report Share Posted December 5, 2014 at 06:57 PM If your school board is required to do a roll call to verify attendance, the details of recording such a roll call in the minutes will have to be found in your rules. As noted, RONR does not require recording attendance. Note that in RONR, the term "roll call" is also used in connection with voting. Taking a vote by roll call records how each member votes. Hopefully the nonmembers of the board are not involved with voting.
