post54 Posted December 15, 2014 at 11:20 PM Report Share Posted December 15, 2014 at 11:20 PM If an agenda is motioned in as accepted with amendments does the secretary write 'person x motioned to approve the amended agenda' or would the secretary write 'person x motioned to approve and adopt the amended agenda.' Of course 'motion carried' would be written after either statement. Could you please also comment if your answer is also true or false with regard to The Minutes.Thank you
Hieu H. Huynh Posted December 15, 2014 at 11:35 PM Report Share Posted December 15, 2014 at 11:35 PM I think the same question is being asked in another thread by the same person. Edited to add that I didn't see the second question about approving minutes and the first question may be slightly different after all.
Josh Martin Posted December 15, 2014 at 11:39 PM Report Share Posted December 15, 2014 at 11:39 PM If an agenda is motioned in as accepted with amendments does the secretary write 'person x motioned to approve the amended agenda' or would the secretary write 'person x motioned to approve and adopt the amended agenda.' Of course 'motion carried' would be written after either statement. Could you please also comment if your answer is also true or false with regard to The Minutes.Thank youThe wording of the motion in the minutes should be exactly the same as it was stated by the chair, which should, in turn, be exactly as it was made (or as amended). So if the motion said to "approve," that is what should be in the minutes. If the motion said to "approve and adopt," that is what should be in the minutes. I hope it is the former, since "approve and adopt" is redundant. Additionally, the minutes should be written in complete sentences, so what should follow is "The motion was carried."None of this is used for approving the minutes. No motion is made to approve the minutes. Rather, the chair asks if there are any corrections to the minutes. After any corrections are dealt with, the chair declares the minutes approved as read (if there are no corrections) or approved as corrected (if there are corrections). If the minutes are distributed in advance and are not read at the meeting, then the wording "as distributed" is often used in place of "as read." The minutes simply note "The minutes were approved as read" (or "as distributed" or "as corrected").You seem to have a number of questions about minutes, so it may be advisable to at some point to take a look at RONR, 11th ed., pgs. 468-476 for more information on that subject.
