Guest Margaret Posted January 14, 2015 at 03:26 PM Report Share Posted January 14, 2015 at 03:26 PM Our seniors' society board of directors meets once per month. After the minutes of the previous meeting have been approved by the board, the approved minutes are displayed on a bulletin board for members to read. Some members have requested that the minutes be posted IMMEDIATELY after the meeting and BEFORE they are approved. Thoughts please.

RONR doesn't take a position on this, but I'd say it's a decidedly bad idea.

"The minutes do not become the minutes . . . until they have been approved; and before this happens, the secretary's draft may be materially modified in the correction process" (p.355)
Richard Brown Posted January 14, 2015 at 05:33 PM Report Share Posted January 14, 2015 at 05:33 PM Agreeing with both Mr. Mervosh and Mr. Guest, if a majority of the members of your seniors' society want the draft minutes posted before they are approved, the membership probably has the power to direct the board to do so. However, as both Mr. Mervosh and Mr. Guest pointed out, since the minutes don't become the minutes until they are approved by the board, posting the draft minutes for the general membership to see before they are approved is probably not be a good idea. That's a decision for your society to make, though. Edited to add: Whether the general membership has the power to instruct the board or to overrule actions of the board depends on your bylaws and the powers given to the board in the bylaws. Gary Novosielski Posted January 14, 2015 at 07:00 PM Report Share Posted January 14, 2015 at 07:00 PM - D R A F T - And if someone does convince or coerce you into posting the draft minutes, you should be sure that they are clearly marked as DRAFT minutes, so people will know that they are subject to correction before becoming final. - D R A F T -

Thoughts please.I don't see a problem with distributing draft minutes, so long as they are clearly marked as such, but to request that they be posted immediately after the meeting seems unreasonable. It will often take some time for the Secretary to turn his hasty notes into proper minutes.
