General Membership Meeting minutes approval

Guest CAB

Recommended Posts

Hello,

I am part of a non-profit in CA. After a General Meeting (100+ members), we previously posted our minutes online (so that members who could not attend could have immediate access to the important and time sensitive information).  We are now trying to follow Robert's Rules more closely.  Two questions:

- Who approves these minutes?  The President alone, or all of General membership at the next monthly meeting?

- If we must wait until the following month for approval, should we avoid posting them online until they are approved?  This would be a bummer.

Thank you!!

The latter.

I don't think that is necessary. You could just clearly mark the draft minutes as a draft. This would enable the membership to see the record of the meeting as soon as possible, while also clearly communicating that the minutes are not yet approved and are therefore subject to correction.

The membership itself approves the minutes of membership meetings unless a motion or a special rule of order has been adopted granting some other person or body, such as the Executive Board or a minutes approval committee the authority to approve them.  Until they are approved, they are draft minutes only.  There is nothing wrong with posting the draft minutes,, but the document and any appropriate notices should state clearly that they are unapproved draft minutes and might be amended when they are ultimately approved.
