Guest Shawna Posted February 10, 2021 at 04:27 PM Report Posted February 10, 2021 at 04:27 PM Who can bring about a motion to accept the minutes ? for example - can someone who was not at the meeting in which the minutes are being presented from, can they make a motion to accept the minutes ? my initial gut feeling is no - because how can you approve the minutes for a meeting at which you were not present. You would not be able to know for sure if the minutes were accurately recorded. I am needing hard evidence in Roberts Rules to back up / disprove my thinking. Thank you ! Quote
George Mervosh Posted February 10, 2021 at 04:33 PM Report Posted February 10, 2021 at 04:33 PM (edited) A motion to approve the minutes is unnecessary as the chair simply declares the minutes approved after any proposed corrections are dealt with, and any member present during the approval process may offer corrections to the minutes whether they were at the meeting in question or not. See RONR (12th ed.), 41:9 - 41:12 paying particular attention to 41:10 and 41:11 which directly addresses your question. Edited February 10, 2021 at 04:36 PM by George Mervosh Quote

You would not be able to know for sure if the minutes were accurately recorded. One obvious example would be if the minutes incorrectly recorded that you made a motion at that meeting. You would certainly know that this was inaccurate, and you should certainly offer a correction.. In any case RONR explicitly states that any current member can participate fully in the approval process. Quote
