Anne Vosikas Posted February 16, 2021 at 09:27 PM Report Posted February 16, 2021 at 09:27 PM We are a small organization using RRofO for administrative support. I haven't seen this topic in your Q&A forum. The organization's secretary was not able to attend a meeting, the meeting was recorded by the president in Zoom however there was a problem with the file so no one was able to draft the minutes/no document to distribute and approve. What would the best course of action be besides asking each attendee to draft their comments from said meeting. Thank you. Quote

For future reference, when the secretary is absent, a Secretary Pro Tempore should be elected to take minutes for the meeting. Since this was not done, and there seems to have been technical difficulties with the recording, I don't think there is any better solution than asking each attendee for their personal recollection of the meeting. I would add, however, that the minutes are a record of what was done, not what was said, so members' comments generally do not belong in the minutes. Quote

The next time the Secretary cannot attend the assembly needs to elect a Secretary Pro Tem to take the minutes. For the minutes of the meeting in question, at the organization's next regular meeting it can appoint a committee of a few people who were heavily involved to produce and approve a set of minutes for that meeting.
