Guest Bob Klebacha Posted June 21, 2021 at 07:24 PM Report Share Posted June 21, 2021 at 07:24 PM A substitute secretary failed to record an action in the minutes of an organization. A motion was properly made and seconded and after discussion a unanimous approval vote was taken. None of this was recorded in the minutes of the meeting. Is it proper under Robert's Rules to reconstruct the minutes with the unrecorded language prior to approval at the next meeting of the organization? Or; should the matter be taken care of as an addition or correction to the minutes at the next meeting of the organization? Thank you. Gary Novosielski Posted June 21, 2021 at 07:26 PM Report Share Posted June 21, 2021 at 07:26 PM It could most easily be accomplished as a correction at the next meeting, when approval of minutes is pending.
Richard Brown Posted June 21, 2021 at 11:18 PM Report Share Posted June 21, 2021 at 11:18 PM Agreeing with Mr. Novosielski, the actual procedure, if the minutes have already been approved, is by use of the motion to "Amend something previously adopted". It requires a regular majority vote if it is made with previous notice having been given. If previous notice is not given, it requires a two-thirds vote or the vote of a majority of the entire membership. It's covered in section 48:15 of RONR (12th ed.). The motion to amend something previously adopted generally is covered in section 35 of RONR,
