Thank you for the reply. A motion was made at our DAR meeting to destroy the ballots of a unanimous acceptance of a prospective member. I could see no reason for it. And still don't. May be a DAR protocol?

It's not surprising that a member of an historical society would want to preserve ALL records.

I suspect the most common response to "Why destroy them?" is "Why keep them?&"

I would advise that the chair ask for unanimous consent, at least, in the absence of a formal motion.
