Board Minutes vs Business meeting minutes

We are having a bit of confusion with our new Board of Directors. Are the Board minutes read at the Business meeting, or are the minutes from the previous business meeting the ones that are read? Most of us feel that introducing the Board minutes without having a discussion at the Business meeting would prove ineffective since no one would know what we are talking about! Thanks for your help.

Some clarification is needed, because you are referring to Business Meetings and Board Meetings. All Meetings are for the transaction of Business. What are these business meetings?

The minutes of Board Meetings are read and approved at Board Meetings.

The minutes of General Membership Meetings are read and approved at General Membership Meetings.

Etcetera.

Are the Board minutes read at the Business meeting ...?

No.

• Board minutes are read aloud at a board meeting.

• Business meeting minutes are read aloud at a business meeting.

• Committee minutes are read aloud at a committee meeting.

• Council minutes are read aloud at a council meeting.

See a pattern emerging here?

[body X] minutes are read aloud at a meeting of [body X].

Are the minutes from the previous business meeting the ones that are read?

"Business meeting"?

Then you read Business Meeting minutes.

Follow the template: [body X] minutes are read aloud at a meeting of [body X].

Most of us feel that introducing the Board minutes without having a discussion at the Business meeting would prove ineffective since no one would know what we are talking about!

Wait a minute.

If "no one knows what [we] are talking about," then you must be be implying:

MEMBERS WHO ATTEND BUSINESS MEETINGS ARE NOT THE SAME MEMBERS WHO ATTEND BOARD MEETINGS.

If that the case, then you should not be having these cross-minutes readings AT ALL.

The wrong body is reading the minutes of a body which is independent of the other body.

Stop doing that, and your problem is solved.
