Learner Posted November 29, 2010 at 04:47 PM Report Share Posted November 29, 2010 at 04:47 PM Hello,Is it okay to record annual meetings and board meetings on a digital device? We think this would be helpful in situations where people have different recollections of what happened at meetings, and also for being sure the minutes are accurate. Thanks.Learner
hmtcastle Posted November 29, 2010 at 06:24 PM Report Share Posted November 29, 2010 at 06:24 PM Is it okay to record annual meetings and board meetings on a digital device? It's okay if the assembly (the members present) says it's okay. RONR notes that such a recording can be useful to the secretary in preparing the minutes but that the recording (or a transcription thereof) should not be confused with the minutes. You might want to consider a rule that orders the destruction of the recording once the minutes are approved. Or thirty days after. Or some such thing. Rev Ed Posted November 29, 2010 at 07:10 PM Report Share Posted November 29, 2010 at 07:10 PM The devise becomes useful to assist the Secretary to determine what actually happened at a meeting, not what was said. The Minutes do not contain what was said, but what was done. If there is debate over who said what, then there is too much information in the Minutes already.
