David A Foulkes Posted August 2, 2011 at 07:51 PM Report Share Posted August 2, 2011 at 07:51 PM Do the motions made by Boards/Committee of a Municipalities have to be verbatim or can they be changed for proper english? If they cannot be changed is the a Statue to refer to?Do you mean does the motion need to be recorded in the minutes verbatim? Well, the motion as it is put by the Chair should be recorded in the minutes. If the Chair, when putting the motion, had misspoken, that was the time for someone to raise a Point of Order about it. As for improper English, I suppose if the Chair said "The question is shall we gave $50 to XYZ Charity?", it would probably not hurt to change gave to give, but any change carries with it the possibility of introducing even more error. Might be better to record it accurately, and then offer any needed corrections at the approval meeting.

Or does the motion as stated must be used for the printed version of the minutes?

Except as it may be corrected in response to such a point of order, the exact wording the chair uses in putting the question is definitive, and the wording in the minutes should be the same."
