Change of Location for meeting

Our meetings are held monthly on the third Wednesday and can only be cancelled with 7 days notice. We have already advertised the location and time, but that facility has closed yesterday due to COVID-19.

Can we change locations at such short notice?  We’ve reached out to alternate locations but most places are closed as well. Some members were suggesting holding the meeting in the parking lot of the closed facility.

Are we allowed to change locations after we’ve already advertised where it will be?

At this point, the location could not be changed unless some provision in your rules allows for it. The parking lot suggestion seems reasonable - it would seem to me that this is still part of the facility. After the meeting is convened, a motion could be adopted to adjourn the meeting to another date, time, and location, if desired (or it may simply be adjourned). This may be done even in the absence of a quorum.

You can the motion to Fix Time to Which to Adjourn (p. 242 ff.).  This would let the parking lot meeting set a time and place to meet again.   A description of the process can be found here, beginning on page 5:  https://issuu.com/parliamentarians/docs/np_76_1
