Secretary/treasurer/media contact

Our agricultural federation has currently individual positions of secreatary and treasurer. Our sister federations have had a combined secretary/treasurer/media contact and it was felt by some that we should follow suit. The first motion made to that affect was defeated. There have been some difficulties with communication between our secretary and our treasurer to the affect that some bills did not get paid on time. We incorporated the federation ;ast october but was inable to name a secretary and not the government is requesting this item to be addressed. At our February meeting our chair mistakenly told the board that the government needed to have a secretary /treasurer named and at the same time our vice chair reported that the sister federations liked the roles being combined and felt it was the best way to go. He made the motion and it was accepted. The position has been advertised for 2 weeks and the closing date has passed.

Now the situation is the chair is now being accused of misrepresentation and influencing the board. Should we go back to the start and redo everything or do we let sleeping dogs lie? The current secretary is not the greatest at keeping minutes nor communicating with the board but she has been there for years and most everyone is 'afrais' to 'get in her face'. What is your opinion?

You cannot combine the positions of secretary and treasurer into one office (secretary/treasurer) without amending your bylaws. However, unless your bylaws say otherwise, you could elect one person to both offices. Neither can be accomplished by a main motion before your board unless your bylaws (unwisely?) give the board that much authority.

You cannot combine the positions of secretary and treasurer into one office (secretary/treasurer) without amending your bylaws. Our by-laws do state that these positions may be rolled into one. When we did a revision we anticipated that this might occur.
