Guest Bob Posted May 2, 2012 at 11:26 AM Report Share Posted May 2, 2012 at 11:26 AM How much may be amended or corrected before the board approves and signs the minutes? For example, if the language of an adopted motion is challenged as being incorrect, can the wording be amended or corrected before approving the minutes, given that the motion should have been clear and understood before the vote was taken? Larry Cisar Posted May 2, 2012 at 11:33 AM Report Share Posted May 2, 2012 at 11:33 AM The minutes tell you what was actually done at the original meeting. So the wording used at the meeting is what goes into the minutes. If you need to amend the motion, you use the motion the Amend Something Previously Adopted. But the exact language used by the chair in putting the question to a vote is what the minutes should reflect. If the secretary didn't record that correctly, the minutes can be corrected accordingly. If there is dispute over what that exact language was now, a majority vote will decide.

David A Foulkes Posted May 2, 2012 at 11:49 AM Report Share Posted May 2, 2012 at 11:49 AM Must the "motion to amend" be made at the meeting where the original motion was adopted, or can it be made in a subsequent meeting? You mean, do you need to travel in time back to the previous meeting? If you can, go for it. But otherwise, no. I understood that you were talking about the reading and approval of minutes of a previous meeting at which this motion was adopted. Did I miss something?
