letter to coach

We, the board put a motion forth to create a letter and hand deliver it to one of our coaches. The letter has been written and sent to a few of the board members including the area rep of our skating organization. The area rep has ok'd it and we are ready to deliver it to the coach. Does the entire board need to ok this letter as it is coming from the board of directors or can we send it as is with the ones that have ok'd it along with the area rep.

If a majority of the board approved the letter, it can be sent "from the board". Individual signatures are not necessary (nor, in my opinion, appropriate). Typically, the chair of the board would sign the letter on behalf of the board. The decision to write and send the letter needn't be unanimous.

Or:

If the Board decided to send a letter to the coach, the motion to send the letter should provide the overview of the content, such as:

1) "That the Board respond to the letter from Coach John with regards to the proposal for new equipment";

2) "That a letter be sent to the coach with regards to the amount of practice time.

Whoever writes the letter could send a copy to a copy of fellow Board members for a proof read, but the letter itself does not need to be approved once it written as the letter has already been approved.

Unless the motion authorizing the letter set out some further (future) approval steps that had to be followed after the letter was drafted, then the board has already authorized the delivery of the letter (by adopting the motion to write and deliver the letter). No need to 'OK' it a second time. Was the motion so vague that people aren't sure exactly how to carry it out?
