How to write up an electronic vote post annual meeting

A special vote by email was taken post annual meeting and pre next annual meeting due to action needing to be taken. How do I write up the motion and resulting vote? Do I include it in previously written minutes stating date and purpose of special vote?

Do your bylaws provide for voting by e-mail? If not, you can't do it. If they do they should also provide for how such decisions are recorded. They should certainly not be included in the minutes of any meeting since they didn't take place at any meeting.

Our neighborhood association by-laws do state that any action taken by members at a meeting of members may be taken without meeting if authorized by members. Thank you for your advise to write up the vote in a separate document. I will advise the board that we should include in the by-laws how to record such decision(s).
