Giving a Report in a Meeting

During our monthly board meetings, we have reports given by various people and groups regarding activities they have accomplished, etc (not referring to secretary/treasurer type reports). Do these reports need to be approved, or are they simply part of the record as an account of what transpired throughout the month? If the time spent is accurate, can the board vote to not accept the report? Under what circumstances might that be feasible? Thanks in advance!

Neither. They are not approved, and are not automatically incorporated into any record. The typical response to a report is to thank the reporter. It is also common for reports to contain recommendations, which the reporting member will move on behalf of the committee. Those would appear in the minutes, of course.

Well, RONR (12th ed.) 51:53 says that reports containing only information ("an account of work done or a statement of fact or opinion for the assembly’s information") should be in writing and are filed.

47:35 says that "When written reports are received from boards or committees, the secretary records on them the date they were received and what further action was taken on them, and preserves them among his records. It is not necessary for an assembly to vote that a board or committee report be 'placed on file,' as that is done without a vote."

I agree that this record is different from the minutes but it is part of the official record of the organization.
