Guest Valerie Owen Posted February 11, 2011 at 06:11 PM Report Share Posted February 11, 2011 at 06:11 PM How do you 'fix' lost meeting minutes? The Recording Secretary was at the last minute not able to attend the meeting. Two people elected to secretary pro temp. One for the morning and one for the afternoon. The afternoon minutes are available. The morning minutes may never arrive (person having severe issues and will not contact anyone). Without the morning minutes, the whole meeting is unofficial. The readers did not do their job and can only 'guess' at what was said going off the President's script. There was no recording because the recorder was with the secretary. Is there any way to correct this? I looked in RONR and couldn't find anything about this.
George Mervosh Posted February 11, 2011 at 06:22 PM Report Share Posted February 11, 2011 at 06:22 PM Yes, RONR is silent about it.Establish a committee of key personnel who were there and can create a proper record of what occurred, then have that approved by the assembly (if you meet regularly). hmtcastle Posted February 11, 2011 at 06:26 PM Report Share Posted February 11, 2011 at 06:26 PM Without the morning minutes, the whole meeting is unofficial. Not true. The lack of minutes has no effect on the legitimacy of the meeting or the business conducted therein.Nevertheless, as Mr. Mervosh indicates, it's important to reconstruct the minutes as soon as possible. Guest churchmember Posted May 4, 2019 at 08:33 PM Report Share Posted May 4, 2019 at 08:33 PM Our church secretary recently passed away. The church minutes are all recorded by hand in a book ledger going back to the beginning of the church, so there is a lot of historical information there. I am not sure why they never recorded minutes electronically on a computer. Unfortunately, now the assistant Secretary says he is unable to find the historical minutes for the church. What should we do now and does this present any legal problems for the church board? Concerned church member.
