Minutes

When a member asks a question of a guest speaker and the speaker answers. And then, one of the other members requests that the question and answer be stricken from the minute records because it was asked as a question by the "individual" not as a question for the organization, that member objecting to the question/answer demands that both the question and answer be stricken and removed from the minutes because it was not coming from the organization. Should that portion be removed from the Minutes as if it had not happened, or should be left as actual things having taken place, but with a proviso next to the question/answer that the question was made by a member as a citizen's question, not as the organization's question.

The minutes should not be reflecting any questions or answers at all. The minutes should only be reflecting what is DONE at the meeting not what is said (RONR p. 451).

In my opinion, a Point of Information is not an "important motion[]" under the rule of RONR (10th ed.), p. 452, ll. 17-19; p. 453, ll. 7-16; so, it should not be entered on the minutes.

Well, I just noticed that the speaker was a "guest speaker", so I'm not sure the question was a Point of Information; nevertheless, such a question, whatever it was, should not generally be entered on the minutes.

Stop.

...and you can point the Secretary to RONR pp. 451-456 for what should go in them. Following RONR's recommendations regarding minutes will cure headaches better than pretty much anything you can find. :)
